POSITION: Administrative Secretary

The Village of Eel RIver Dundee is looking for an Administrative Secretary who is precise, dynamic and with excellent organizational skills for a maternity leave replacement starting this December for approx. 16 to 18 months. 

JOB DESCRIPTION: The person is responsible for providing administrative support to the Executive Director. 

The following function are among others, without being exclusive:

Preparation and organization of meeting agendas, taking meeting minutes, and record meeting minutes;
Answer to phone calls and emails;
Write correspondence such as letters, reports, press releases and municipal bulletins;
Responsible for content including changes to the municipal web page and social media (Facebook);
Revise, correct and translate all documents;
Support the Executive Director with the conduct and implementation of procedures, policies and by-laws;
Electronic calendar management (Outlook) for the Executive Director and Council members ;
Coordinates appointments, meetings, conferences, prepares itineraries and completes registrations for conventions, announcements and social events;
Perform any other related tasks requested by his / her immediate supervisor.

The chosen person will have to replace the receptionist in her absence. He or she may also act as administrative secretary at meetings. Occasionally, the person may have to work outside regular hours.

QUALIFICATIONS: Must have post-secondary training in secretarial, office management, administrative support or office management. Experience is an asset.

OTHER IMPORTANT SKILLS: The chosen candidate will have to apply discretion, confidentiality, judgment, initiative, high degree of efficiency and attention to details. Must be able to work independently and as a team with minimal supervision. The administrative secretary manages a number of projects and could be frequently interrupted to meet the needs and demands of citizens. He or she must have excellent communication skills, interpersonal skills and a high sense of organization. Able to handle multiple tasks at once by establishing needs and priorities. He or she will have to master the Microsoft Office suite and have a good record of performance and attendance. Knowledge of French and English spoken and written is required.

CONDITIONS OF EMPLOYMENT:

STATUS: Full-time, temporary for a maternity leave replacement for an approximate duration of 16 to 18 months (December 2018 to April 2020) at 35 hours per week. Possibility of a part-time job afterwards.
